Operational Oversight Specialist (FTC)

As a key member of the Operational Oversight Team, the Operational Oversight Specialist will use various inputs (incident reports, escalation metrics, third-party MI, feedback from internal stakeholders and regulatory changes) to identify themes for service improvements and address control deficiencies, documenting thematic reports and actions. The role includes the undertaking of regulatory reporting to regulators and tax authorities such as FCA, HMRC, IRS.
Applicants are not required to have existing expertise in all role responsibilities listed but are expected to be able to satisfy a material number and be willing to grow into those outstanding.
Role Responsibilities:
- Use the Company’s Governance, Risk and Compliance (GRC) Tools to document, track progress, manage risks associated with operations, and identify trends and patterns
- Maintain clear and consistent communication with stakeholders for oversight cases being handled or when remediating issues, providing regular updates on status and resolution efforts, escalating accordingly
- Conduct post-incident reviews to identify root causes and implement corrective actions to prevent recurrence, ensuring that the resolution meets at a minimum the service level agreements and quality standards, and verifying the satisfaction of the end users and stakeholders
- Generate and analyse incident and breach reports to track performance metrics and identify trends, acting upon them and escalating as is necessary
- Support the production of timely and accurate regulatory reporting to satisfy our regulatory responsibilities
- Monitor regulatory reporting output from the third-party administrator and other market vendors to ensure the Brooks Macdonald remains compliant with our varied regulatory responsibilities
- Perform role always ensuring adherence to the expected behaviours stated in the FCA Conduct Rules
Knowledge, Skills and Experience:
- Industry experience within an operations or middle office environment, preferably within oversight or client services within Wealth or Asset Management
- Demonstrable subject matter expertise or operational knowledge of operational oversight, dealing, settlements, payments and cash management, cash and stock reconciliation breaks, stock transfer and re-registration, corporate actions (including dividends), account maintenance, IFA fee processing and client onboarding and offboarding
- Proven ability to demonstrate subject matter expertise when engaging with our outsourced third-party administrators and stakeholders on operational matters
- Experience and understanding of HMRC and IRS regulatory reporting regimes, e.g., FATCA, CRS, Qualified intermediary withholding tax reporting, other interest, and ISA annual reporting
- Intermediary Excel skills including ability to analyse and present data sets
- Knowledge and understanding of investment product types managed by investment management firms including General Investment Accounts, ISAs, Offshore Bonds, personal and group pension products as well as knowledge of assets held (e.g. equities, funds, investment trusts, bonds)
