We are looking for a Personal Assistant (PA) to become part of our Tax Department, which serves prominent domestic and international clients. This position presents an exciting opportunity for the right individual to collaborate with a dynamic and friendly team, as well as other PAs within Ireland’s premier law firm.
The PA will be tasked with delivering a comprehensive secretarial service. This role is perfectly suited for a highly organised and motivated PA who enjoys engaging with a diverse range of individuals throughout the organization.
The responsibilities of this role will encompass:
- Assuming responsibility for monthly invoicing to ensure it meets client specifications accurately.
- Communicating with clients regarding invoicing inquiries in collaboration with the Finance team.
- Assisting in the client onboarding process, organizing Letters of Engagement, and maintaining electronic files.
- Accurately typing and generating emails and documents.
- Coordinating travel and accommodation arrangements for partners and other team members.
- Providing administrative support for business development initiatives.
- Performing extensive management of calendars and emails, including proactive monitoring and addressing actions as necessary.
- Demonstrating proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant document management systems (e.g., iManage platform).
- Collaborating and communicating with department lawyers and working alongside cross-departmental teams.
- Setting up MS Teams conference calls.
- Managing expense reports for assigned personnel.
- Creating and coordinating PowerPoint presentations.
- Working with the IT team to arrange meetings and seminars.
- Updating and maintaining lawyers' Continuing Professional Development (CPD) records.
- Managing and updating the Client Relationship Database.
The ideal candidate will have:
- A minimum of 6 years of experience as a Legal PA providing support to senior personnel in a professional services setting.
- Proficient in MS Office applications, including PowerPoint and Excel, with a track record of producing high-quality and precise work.
- A post-secondary qualification, such as a diploma or certificate in secretarial studies; however, relevant work experience may be accepted as a substitute.
- Demonstrates a strong commitment to maintaining integrity, discretion, and confidentiality.
- Flexible work style with a proven capacity to operate independently while functioning effectively within a team.
- Highly organized and possesses exceptional attention to detail.
- Enthusiastic and capable of contributing effectively as a member of a PA team in support of partners and other staff.
