Executive Assistant Duties
- Manage company car and arrange transport
- Submit monthly expense reports
- Travel arrangements (Flights, hotel and restaurant reservations, visa applications, etc.)
- Prepare official documents for the CEO’s signature and arrange international courier
- Liaise with and visit notary public for leglisation requests
- Assist in scheduling (manage and adjust schedule accordingly)
- Welcome clients and issue QR codes for building entry
- Assist bank transfers for personal expenses
- Perform other ad-hoc tasks upon request
Event support - Coordinate site tours and investors visiting Japan (Hotel and restaurant arrangements)
- Support tenant events (Tenant company parties, Groundbreaking Ceremony etc.)
- Translation and drafting speech for CEO
- At least 3 years of experience as an Executive Assistant supporting C-suite level
- 1-3 years of experience in airline industry will be ideal but not a must
- Flexibility to match CEO’s very fluid schedule and well-organized with a high level of time management skills
- Strong mentality to support CEO's schedule and work
- Detail-oriented, careful with a logical mindset
- Ability to deal with complex situations, to think and plan ahead
- High level of comprehension capability
- Independent learning with the willingness to learn
- Professional to deal with discretion and confidentiality
- Outstanding verbal and written communications skills (Japanese and English)
- Excellent MS Office knowledge in Outlook, Word, Excel, PowerPoint, Adobe
