We’re looking for a highly organized, operations-driven Executive Assistant to join our team at Accredited Labs! 

In this pivotal role, you will provide comprehensive, high-level support to our CEO and senior leadership team by keeping priorities aligned, communication flowing, and operations on track. You’ll also be responsible for the day-to-day management of our corporate office in Dallas, ensuring everything runs seamlessly. 

The ideal candidate is a sharp and agile multitasker with exceptional organizational skills, strong professional communication, and a high level of discretion in handling confidential information.

Key Responsibilities:

Senior Leadership Support

  • Provide administrative support to the senior leadership team, including calendar management, scheduling, and coordinating travel arrangements. 
  • Coordinate meetings, conferences, and travel arrangements for executives. 
  • Prepare agendas, minutes, and materials for leadership meetings. 
  • Handle confidential information and communications with the highest level of discretion. 
  • Assist with special projects, presentations, and reports. 
  • Serve as a liaison between executives and internal/external stakeholders. 

Office Management

  • Serve as the primary front desk receptionist at our Dallas headquarters. 
  • Create a professional and welcoming environment for visitors and staff. 
  • Manage incoming calls, mail, and correspondence. 
  • Maintain office organization, cleanliness, and functionality. 
  • Monitor and order office supplies, ensuring optimal inventory levels. 
  • Coordinate with vendors for office services and maintenance. 
  • Assist with office relocations and space planning when needed. 
  • Support general administrative needs across departments. 

Qualifications: 

  • 2+ years of experience in executive support, office management  
  • Exceptional written and verbal communication skills 
  • Strong organizational abilities with meticulous attention to detail 
  • Demonstrated ability to prioritize competing tasks in a fast-paced environment 
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) 
  • Experience with calendar management across multiple executives 
  • Professional demeanor and excellent interpersonal skills 
  • Ability to maintain strict confidentiality with sensitive information 
  • Problem-solving mindset with a proactive approach to challenges 
  • Adaptability and willingness to take on various responsibilities as needed
