Key Responsibilities
- Data entry and reporting - accurately input customer orders, details, and project data into our systems.
- Generate and distribute - regular and ad-hoc performance reports for the management team.
- Invoicing and financial administration - prepare and process invoices for various services, ensuring on-time delivery to clients.
- Verify billing details - for accuracy and maintain meticulous financial records.
- Customer job management - act as the primary contact for customer inquiries, requests, and follow-ups.
- Coordinate ongoing orders and projects - to keep tasks on schedule and clients informed.
- Stock and inventory control - track inventory levels, update records, and manage reordering requirements.
- Collaborate with internal teams - to anticipate supply needs and avoid shortages.
- Transitions and change requests (SOW) - coordinate changes in project scope by working closely with internal departments and communicating updates to customers.
- Document and archive - all change requests to maintain precise project records.
- Pricing and quotations - provide clients with accurate pricing estimates and quotations for services.
- Partner with finance and senior management - to maintain competitive, profitable pricing strategies.
Qualifications & Skills
- Administrative Strength - proven experience in data entry, scheduling, and record-keeping.
- Technical Proficiency - skilled in Microsoft Office (especially Excel) and familiarity with CRM/ERP systems.
- Detail-Oriented - strong attention to detail, ensuring precision in data and financial tasks.
- Customer Focus - excellent communication and interpersonal skills for handling inquiries and resolving issues.
- Team Player - comfortable collaborating across various departments to achieve common goals.
